We do not routinely request special category personal data. However, you may choose to provide information about health, disability, accessibility, religious requirements or other personal circumstances where it is relevant to your design requirements or our services. We will only process this information where it is necessary, with an appropriate lawful basis and, where required, an additional condition permitted under data-protection law. We do not routinely collect information about criminal convictions and offences.
Where we are required to collect personal data by law, or under the terms of a contract between us, and you do not provide that data when requested, we may not be able to perform the contract, for example to deliver goods or services to you. If you do not provide the requested data, we may have to cancel a product or service you have ordered, but we will notify you at the time.

Use of AI-Assisted Tools
Decorbuddi may use approved artificial intelligence and AI-assisted software to support administration, research, drafting, early concept development, image editing, conceptual visualisation and the organisation of project information.
Where personal data is processed through these tools, we will limit the information used to what is reasonably necessary, remove or obscure identifying information where reasonably practicable, and use providers offering appropriate privacy, security and contractual safeguards. We will not knowingly permit client personal data, photographs or project information to be used to train general-purpose AI models.
Depending on the purpose, our lawful basis for this processing will normally be the performance of our contract with you or our legitimate interests in administering and providing our services securely and efficiently. We do not use AI to make solely automated decisions about clients that produce legal or similarly significant effects.
Information may be processed by approved third-party technology providers acting on our behalf, including providers located outside the United Kingdom where appropriate transfer safeguards are in place. Personal data processed through AI-assisted tools will be retained in accordance with our general retention practices and the settings and contractual terms applying to the approved provider. Further information about how we share, protect and retain personal data, and about your rights, is set out below.
How We Collect Your Personal Data
We may collect data about you when you provide the data directly to us, for example by completing forms on our site or sending us emails. We may automatically collect certain data from you as you use our website by using cookies and similar technologies.
We may receive data from third parties such as Houzz; analytics and search providers such as Google; advertising networks such as Meta; providers of technical, payment and delivery services; and data brokers or aggregators. Some of these providers may be based outside the United Kingdom.
We may also receive data from publicly available sources such as Companies House and the Electoral Register in the United Kingdom.
Marketing Communications
Our lawful ground for processing your personal data to send you marketing communications is either your consent or our legitimate interests in growing our business.
Under the Privacy and Electronic Communications Regulations, we may send you marketing communications from us if: (i) you made a purchase or asked for information from us about our goods or services; or (ii) you agreed to receive marketing communications; and in each case you have not opted out of receiving such communications. If you are a limited company, we may send you marketing emails without your consent where permitted by law. You can still opt out of receiving marketing emails from us at any time.
Before we share your personal data with any third party for its own marketing purposes, we will obtain your express consent.

If you opt out of receiving marketing communications, this opt-out does not apply to personal data provided as a result of other transactions, such as purchases or warranty registrations.

Suppliers of Decorbuddi goods and services.
Service providers that provide IT and system-administration services.
Approved artificial intelligence and technology providers that process information on our behalf to support the services described in this Privacy Policy.
Professional advisers, including lawyers, bankers, auditors and insurers.
Government bodies that require us to report processing activities.
Third parties to whom we sell, transfer or merge parts of our business or our assets.
We require third parties that process personal data on our behalf to respect the security of your personal data and treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions.
Data Storage
Unfortunately, no website transmitting information via the internet is completely secure. Although we do our best to protect your personal data, we cannot guarantee the security of data transmitted to our site; any transmission is at your own risk. Once we have received your information, we use procedures and security features designed to prevent unauthorised access.
Other storage locations include, but are not limited to Monday.com, Xero and Mailchimp. This list may change from time to time.
International Transfers
Some of our external service providers may process personal data outside the United Kingdom.
Whenever we make a restricted international transfer of personal data, we will take steps to ensure that an appropriate level of protection applies. Depending on the circumstances, we may rely on:
UK adequacy regulations, including the UK Extension to the EU-US Data Privacy Framework where the recipient is appropriately certified;
the UK International Data Transfer Agreement, an approved UK Addendum to standard contractual clauses, or another safeguard permitted under UK data-protection law;
binding corporate rules or another approved transfer mechanism, where applicable; or
a legal exception for a particular transfer where this is permitted by law.

Data Security
We have put in place security measures designed to prevent your personal data from being accidentally lost, used, altered, disclosed or accessed without authorisation. We only allow access to personal data to employees and partners who have a business need to know it. They will process personal data only on our instructions and must keep it confidential.
Data Retention
We will only retain your personal data for as long as necessary to fulfil the purposes for which we collected it, including satisfying legal, accounting or reporting requirements.
When deciding how long to keep data, we consider its amount, nature and sensitivity, the potential risk of harm from unauthorised use or disclosure, the purposes of processing, whether those purposes can be achieved by other means, and applicable legal requirements.
For tax purposes, the law requires us to keep basic information about our customers, including Contact, Identity, Financial and Transaction Data, for six years after they stop being customers.
In some circumstances, we may anonymise your personal data for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.
Your Legal Rights
Under data-protection law, you may have rights in relation to your personal data, including the rights to request access, correction, erasure, restriction, portability and objection to processing and, where the lawful ground for processing is consent, to withdraw consent. If you wish to exercise any of these rights, please email hello@decorbuddi.com. You will not normally have to pay a fee to exercise your rights. However, we may charge a reasonable fee, or refuse to comply, where a request is manifestly unfounded or excessive, as permitted by law.
We may need to request specific information from you to confirm your identity and ensure that personal data is not disclosed to anyone who has no right to receive it. We may also contact you for further information in relation to your request so that we can respond efficiently.
We aim to respond to legitimate requests within one month. It may take longer if your request is particularly complex or you have made a number of requests, in which case we will notify you.
If you are not happy with any aspect of how we collect and use your data, you have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data-protection issues, at www.ico.org.uk.
